1. Overview & Commitment

At Kova Systems Inc. ("Kova", "we", "us", or "our"), we respect your privacy and are committed to protecting the financial and personal data processed through our real estate management platform, mobile application, and related services.

This Privacy Policy explains how information is collected, used, stored, and safeguarded when you access Kova via our web dashboard or Expo React Native mobile app.

2. Information We Collect

To provide accurate plot management, demand draft reconciliation, and payment auditing, Kova processes the following categories of data:

  • Account Information: Usernames, password hashes (encrypted via bcrypt), role permissions (Admin, Standard User), and session logs.
  • Real Estate & Plot Data: Site layout details, plot numbers, land costs, customer allotment profiles, company bank mappings, and GST configuration options.
  • Financial & Milestone Records: Demand draft amounts, milestone position tags, payment dates, UTR transaction numbers, receipt identifiers, and extra work fee allocations.
  • Mobile & Technical Logs: IP address, browser type, mobile OS version, and camera/upload attachments for demand draft receipt documents.

3. How We Use Your Information

We use the collected information strictly for service delivery and platform optimization:

Generating demand draft receipts & milestone progress tracking.
Calculating 5% GST tax reconciliation & bank allocation splits.
Syncing site updates between web dashboard and mobile field app.
Enforcing role permissions, admin demotions, and security audit logs.

4. Security & Data Protection

We implement industry-standard administrative, physical, and technical controls to protect your workspace against unauthorized access, loss, or alteration.

  • TLS/SSL encryption for all data in transit across web and mobile APIs.
  • Prisma ORM parameterization to prevent SQL injection vulnerabilities.
  • Role-based access boundaries preventing non-admin users from unauthorized data mutations.

5. Your Rights & Controls

You maintain complete ownership of your real estate data. You have the right to request access, correction, data export, or permanent deletion of your account records by contacting your workspace administrator or support.
